Our business is based around trust, confidentiality and integrity.

We are committed to taking reasonable steps to both protect your privacy online and manage your information responsibly. This Privacy Policy is intended to notify you of the type of information we typically collect and store; it describes how the information is used; with whom the information may be shared; what choices are available to you regarding the collection, use and distribution of the information; what kind of security procedures are in place to protect the loss of information under our control, and who to contact with questions or concerns.

Under General Data Protection Regulations, which came into force on 25th May 2018, this privacy notice explains how Wardour Partnership Ltd uses any personal information collected about you.

WHAT INFORMATION DO WE COLLECT AND WHERE DO WE GET IT FROM?

We collect and store profile information: this may include your name, address, telephone number, email address, education history, employment history, and other information which appears on a resume or CV. This could be provided directly from you, when a CV is given to us and/or when we approach you about a potential opportunity and collect this information through conversation with you.

This information allows us to support you and your interest in a position, about which we have approached you. It helps us when short-listing potential candidates for a role. By explicitly providing consent when you engage in discussion or submit your CV, you are providing permission for our storage of this information. Under no circumstances would we share any personal information or a CV with a third party without first gaining your explicit consent.

As well as information provided by you through interview or in a CV, we also collect information from publicly available sources and websites. This could include LinkedIn, Facebook, Twitter, other websites, such as those associated with professional conferences eg brochures/delegate lists.

On occasion, through confidential networking we also get information on you by reference or word of mouth. For example, you may be recommended by a friend, a former colleague, former boss etc

HOW DO WE USE YOUR PERSONAL INFORMATION?

We use your personal information to match your skills and experience against a specific role requirement. Basic information, often no more than publicly available information (and excluding any contact details), may be shared with our client at this stage.

Before sharing more information with the client, we always tell you about the role. If you are interested we will collect further information from you and we could share this with the client. This information will be retained, only with your approval. If you are selected to progress through further stages of a recruitment process, we will collect additional information such as due diligence requirements and information from referees, whom you have nominated.

YOUR CONSENT AND OUR LEGITIMATE INTERESTS

If you contact one of our Client Partners and share details, such as a CV, you are giving your consent to us processing and storing your data eg email, contact telephone numbers etc. We will never share any information given to us with any third party without gaining your consent to do so.

We use certain personal data to determine which candidates might be worth approaching for a particular role. This is necessary for our legitimate interests as a search company. We don’t use any sensitive personal data without ensuring we have another basis for such processing.

In processing your personal data in connection with the purposes set out in this Policy, we may rely on one or more of the following legal bases:

  • The processing is necessary in connection with any contract that you may enter into with us;
  • You have consented to the processing of your personal data, see above;
  • We have a legitimate interest in carrying out the processing, based upon: our legitimate interest in the management and operation of our business; our legitimate interest in the provision of services to our clients; and our legitimate interest in the provision of information to our clients and candidates.

    FOR HOW LONG DO WE HOLD YOUR PERSONAL INFORMATION?

    In executive recruitment, it is not uncommon for us to maintain relationships with candidates for many years. For this reason, your consent includes explicit consent to retain your personal details until such time as you wish us to delete your records from our database or refrain from further engagement.

    HOW DO WE SECURE YOUR INFORMATION AND SAFEGUARD YOUR DATA?

    We have implemented appropriate technical and organisational security measures designed to protect your data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure and unauthorised access. These include measures to deal quickly and efficiently with any suspected data breach; encryption on all digital devices; and contractual agreements and processes to increase data safety.

    WHAT ARE YOUR RIGHTS?

    You have several rights when it comes to your personal information.

    Subject to applicable law (GDPR), you may have several rights regarding the processing of your personal data, including:

  • The right to request access to, or copies of, your personal data that we process or control;
  • The right to request rectification of any inaccuracies in your personal data;
  • The right to request, on legitimate grounds: erasure of your personal data; or the restriction of processing of your personal data;
  • The right to object, on legitimate grounds, to the processing of your personal data on the basis of your consent, the right to withdraw that consent;
  • The right to lodge complaints regarding the processing of your personal data with a data protection authority.
